CREALIS® CPQ Document Assembler automatically creates quotation and order documents
Alongside customised configuration and correct price calculation, quotation generation is one of the most important functions for selling complex products. With Document Assember, CREALIS® CPQ offers a suite that can be used to generate and provide comprehensive quotation documents and many other documents.
The documents are customised to the respective configuration and designed to be visually appealing. 3D visualisations generated dynamically during configuration as well as additional information such as product data sheets or technical drawings can be integrated directly into the documents. This creates comprehensive, high-quality documents that considerably simplify the quotation process and at the same time improve the quality of communication with the customer.
Based on the configuration result and the information contained in the parts list, order templates, customer orders and order confirmations can be generated fully automatically and integrated into the sales process in addition to quotation documents. The role-specific version of Document Assember supports the various users in the selection, creation and distribution of documents.
The configuration result with the bills of materials (BOM) as the foundation for document generation
The result of the product configuration contains different categories of BOMs depending on the underlying modelling. For CREALIS® CPQ it is easy to prepare different types of BOMs. Sales BOMs contain information such as the correct prices, quantities, product codes and order codes that are relevant to the customer and the sales process. These include order BOMs and quotation BOMs. Technical BOMs contain the technical structure of the configured variant of the product or system. These include quantity BOMs, structural BOMs, modular or variant BOMs. These lists can be extended to include individual work schedule structures along with work steps.
Users with the appropriate authorisations can modify individual items independently of the configuration specifications and add or remove additional items. In this way, customer-specific special requests such as the integration of customer provisions or entire ETO processes can also be flexibly taken into account.
The results page can be visualised, for example by integrating product images to better display the items. All displayed information can be customised for specific roles so that different user roles only see the data relevant to them.
Flexibility in document generation
The selection of available documents is organised on a role-specific basis and is displayed in a clear dialogue, the Document Assembler. For each document, you can individually define which sub-documents it is composed of. You can specify whether a sub-document is optional or mandatory in the overall document.
Multilingual documents with parts lists, visualisations and prices are easily possible. In addition, alternative quotations, supplementary quotations and other documents such as product data sheets, price lists, manuals, technical specifications or individual operating instructions can be integrated into the final document. Legal information, such as general terms and conditions, can also be added.
Technically, document generation is based on Microsoft Word templates, which enables flexible design and customisation of the documents to suit any formatting requirements.
Processing and forwarding documents
As soon as the documents have been created, they can be sent directly via e‑mail, stored on the file system for later use or transferred to connected third-party systems. CREALIS® CPQ is integrated into existing systems such as web shops, CRM or ERP systems through standardised interfaces. The information on the results is transferred smoothly and can be used immediately for further quotation or order processing.
The configurations and their results can be managed either directly in CREALIS®‘s own management system, in the convenient CREALIS® CRM or in connected systems such as CRM or ERP.
