CREALIS® CPQ Docu­ment Assem­bler auto­ma­ti­cal­ly crea­tes quo­ta­ti­on and order docu­ments

Along­side cus­to­mi­sed con­fi­gu­ra­ti­on and cor­rect pri­ce cal­cu­la­ti­on, quo­ta­ti­on gene­ra­ti­on is one of the most important func­tions for sel­ling com­plex pro­ducts. With Docu­ment Assem­ber, CREALIS® CPQ offers a suite that can be used to gene­ra­te and pro­vi­de com­pre­hen­si­ve quo­ta­ti­on docu­ments and many other docu­ments.
The docu­ments are cus­to­mi­sed to the respec­ti­ve con­fi­gu­ra­ti­on and desi­gned to be visual­ly appe­al­ing. 3D visua­li­sa­ti­ons gene­ra­ted dyna­mi­cal­ly during con­fi­gu­ra­ti­on as well as addi­tio­nal infor­ma­ti­on such as pro­duct data sheets or tech­ni­cal dra­wings can be inte­gra­ted direct­ly into the docu­ments. This crea­tes com­pre­hen­si­ve, high-qua­li­ty docu­ments that con­sider­a­b­ly sim­pli­fy the quo­ta­ti­on pro­cess and at the same time impro­ve the qua­li­ty of com­mu­ni­ca­ti­on with the cus­to­mer.
Based on the con­fi­gu­ra­ti­on result and the infor­ma­ti­on con­tai­ned in the parts list, order tem­pla­tes, cus­to­mer orders and order con­fir­ma­ti­ons can be gene­ra­ted ful­ly auto­ma­ti­cal­ly and inte­gra­ted into the sales pro­cess in addi­ti­on to quo­ta­ti­on docu­ments. The role-spe­ci­fic ver­si­on of Docu­ment Assem­ber sup­ports the various users in the sel­ec­tion, crea­ti­on and dis­tri­bu­ti­on of docu­ments.

The con­fi­gu­ra­ti­on result with the bills of mate­ri­als (BOM) as the foun­da­ti­on for docu­ment gene­ra­ti­on

The result of the pro­duct con­fi­gu­ra­ti­on con­ta­ins dif­fe­rent cate­go­ries of BOMs depen­ding on the under­ly­ing model­ling. For CREALIS® CPQ it is easy to prepa­re dif­fe­rent types of BOMs. Sales BOMs con­tain infor­ma­ti­on such as the cor­rect pri­ces, quan­ti­ties, pro­duct codes and order codes that are rele­vant to the cus­to­mer and the sales pro­cess. The­se include order BOMs and quo­ta­ti­on BOMs. Tech­ni­cal BOMs con­tain the tech­ni­cal struc­tu­re of the con­fi­gu­red vari­ant of the pro­duct or sys­tem. The­se include quan­ti­ty BOMs, struc­tu­ral BOMs, modu­lar or vari­ant BOMs. The­se lists can be exten­ded to include indi­vi­du­al work sche­du­le struc­tures along with work steps.
Users with the appro­pria­te aut­ho­ri­sa­ti­ons can modi­fy indi­vi­du­al items inde­pendent­ly of the con­fi­gu­ra­ti­on spe­ci­fi­ca­ti­ons and add or remo­ve addi­tio­nal items. In this way, cus­to­mer-spe­ci­fic spe­cial requests such as the inte­gra­ti­on of cus­to­mer pro­vi­si­ons or enti­re ETO pro­ces­ses can also be fle­xi­bly taken into account.
The results page can be visua­li­sed, for exam­p­le by inte­gra­ting pro­duct images to bet­ter dis­play the items. All dis­play­ed infor­ma­ti­on can be cus­to­mi­sed for spe­ci­fic roles so that dif­fe­rent user roles only see the data rele­vant to them.

Fle­xi­bi­li­ty in docu­ment gene­ra­ti­on

The sel­ec­tion of available docu­ments is orga­nis­ed on a role-spe­ci­fic basis and is dis­play­ed in a clear dia­lo­gue, the Docu­ment Assem­bler. For each docu­ment, you can indi­vi­du­al­ly defi­ne which sub-docu­ments it is com­po­sed of. You can spe­ci­fy whe­ther a sub-docu­ment is optio­nal or man­da­to­ry in the over­all docu­ment.
Mul­ti­l­in­gu­al docu­ments with parts lists, visua­li­sa­ti­ons and pri­ces are easi­ly pos­si­ble. In addi­ti­on, alter­na­ti­ve quo­ta­ti­ons, sup­ple­men­ta­ry quo­ta­ti­ons and other docu­ments such as pro­duct data sheets, pri­ce lists, manu­als, tech­ni­cal spe­ci­fi­ca­ti­ons or indi­vi­du­al ope­ra­ting ins­truc­tions can be inte­gra­ted into the final docu­ment. Legal infor­ma­ti­on, such as gene­ral terms and con­di­ti­ons, can also be added.
Tech­ni­cal­ly, docu­ment gene­ra­ti­on is based on Micro­soft Word tem­pla­tes, which enables fle­xi­ble design and cus­to­mi­sa­ti­on of the docu­ments to suit any for­mat­ting requi­re­ments.

Pro­ces­sing and for­war­ding docu­ments

As soon as the docu­ments have been crea­ted, they can be sent direct­ly via e‑mail, stored on the file sys­tem for later use or trans­fer­red to con­nec­ted third-par­ty sys­tems. CREALIS® CPQ is inte­gra­ted into exis­ting sys­tems such as web shops, CRM or ERP sys­tems through stan­dar­di­sed inter­faces. The infor­ma­ti­on on the results is trans­fer­red smooth­ly and can be used imme­dia­te­ly for fur­ther quo­ta­ti­on or order pro­ces­sing.
The con­fi­gu­ra­ti­ons and their results can be mana­ged eit­her direct­ly in CREALIS®‘s own manage­ment sys­tem, in the con­ve­ni­ent CREALIS® CRM or in con­nec­ted sys­tems such as CRM or ERP.
